This is the cheapest option, but reliability and spam filtering are generally lower than Google Workspace. If your business relies heavily on email communication, hosting email may cause deliverability issues.

  • Access to your domain DNS settings (via your domain registrar)
  • A choice of email provider

The technical part involves updating DNS records — specifically MX records (which direct email to your provider), and SPF, DKIM, and DMARC records (which prevent your emails from going to spam). This sounds technical, but it is a one-time setup that takes 30 to 60 minutes for someone who knows what they are doing.

  • Not setting up SPF/DKIM/DMARC — the most common reason business emails go to spam even after switching to domain email
  • Using hosting email for important client communication — the reliability is lower than Google Workspace; if your hosting has issues, so does your email
  • Not backing up emails before migrating — if you switch providers, make sure old emails are exported first
